Author Guidelines for Oral Presentations

Oral presentations are organized in oral sessions scheduled in specific lecture rooms given in the programme together with the time of presentation of each contribution including discussion and change over. The oral sessions are scheduled in four time blocks per day, each time block with 90 minutes. Please note that the duration given to your oral presentation includes 3 min. for questions and discussion, e.g. a 15 min. talk should be 12 min. actual presentation + 3 min. discussion. Your presentation must be organized in a 4:3 dimension.

The oral presentations are not organized centrally. Therefore, the authors are kindly asked to upload their presentations directly in the respective lecture room within 30 minutes preceding the actual time block of the session starts. A lecture room assistant will be available for any help.

Time Block Presentations Presentation Upload
TB1 08:30–10:00 08:00–08:30
TB2 10:30–12:00 10:00–10:30
TB3 13:30–15:00 13:00–13:30
TB4 15:30–17:00 15:00–15:30

It is strictly prohibited to take photos and/or copies from notebooks of any scientific material without the expressed permission by the authors.

Lecture Room Equipment

  • Beamer;
  • Notebook for the upload of presentations (USB Flash Drive, DVD, CD);
  • VGA Panel to connect the personal notebook/MacBook with the beamer via a switch (incl. power supply)*;
  • Kensington presenter to switch slides incl. laser pointer;
  • Internet connection for the presenter (LAN);
  • Necklace speaker microphone;
  • Presentation timer with displays for presenter and chairperson;
  • Wireless hand-held discussion microphones (larger rooms only).

*Each lecture room is equipped with a VGA Panel with 3 independent sites A – C consisting of power sockets plus a VGA cable each, where authors can install, in the order of presentation, their computers before the time block starts and remove them after the time block has ended. Please keep in mind that Austria runs a 220V electricity network. At position D, there is a switch by which the positions A – C can be switched independently, one after the other, to the beamer before the respective speaker starts his/her presentation. If the author uses his/her own notebook/MacBook we kindly point out that he/she has to switch on the external monitor mode (VGA mode, e.g. Fn F5).

The notebook in each lecture room is equipped with the following software:

  • Windows XP;
  • MS Office 2010 (Power Point, Word);

Oral Summaries of Posters

Authors of poster papers should be prepared to provide ad hoc a summary of their poster presentation during the corresponding oral session in case a gap should occur in the time schedule and no stand-by paper should be available to fill in. In other cases the convener may have foreseen the presentation of poster summaries during the oral session.

In addition to time reserved within an oral session to present Poster Summaries, we have set aside specific lecture rooms to host so-called Poster Summaries and Discussion (PSD) sessions which are dedicated to the oral summary of poster papers. Please check the corresponding programme if your session has scheduled such an event!

Oral No Shows

Including your abstract in the conference programme obliges you or one of your co-authors to actually present your contribution at the time and in the mode indicated. If you already know that your oral will not be presented you are kindly requested to withdraw your corresponding abstract as soon as possible! Please note that the organizers will be monitoring all oral no shows, and that a list of authors' names will be kept for the following year.
